Founded in Boston in 1985, uAspire now provides expert financial aid advising across the country, with direct service sites in four cities in Massachusetts; Miami, Florida; and the San Francisco Bay Area of California. uAspire is in the process of implementing a multi-faceted strategic plan for National Growth with Quality that will enable the organization to positively impact the lives of 1,000,000 students by 2017.

Position Summary

The challenges of college affordability have never been more pronounced, and uAspire’s expertise – built over three decades of practice – has never been more needed across our sites and communities nationwide. The Finance & Operations Manager will play a critical role in ensuring that uAspire achieves our ambitious and multifaceted plans for growth with quality, thereby enabling the postsecondary dreams of thousands of students to be realized each year. S/He will work in uAspire’ Central Office, located in Boston, MA, and be responsible for the day-to-day management and support of all business functions including accounting and finance, human resource administration, facilities management, information technology, data integrity, and legal, risk, and compliance. In addition to being responsible for a wide range of financial and administrative tasks that focus on maintaining/coordinating effective operational support across the entire organization, the Finance & Operations Manager will play a key capacity building role crucial to uAspire’s future growth.

This position requires a driven individual with exceptional organizational skills who is able to balance competing priorities with accuracy, proficiency and efficiency in a fast-paced work environment with minimal supervision. S/He will have a proven ability to deliver high-quality work, ensure the timely completion of tasks and deliverables in a collaborative environment, and motivate staff to operate at unwavering service levels. The right candidate for this position will possess a high level of integrity with the ability to handle and communicate confidential information as necessary. This is a demanding position and an exciting opportunity for an individual to deepen his or her experience in finance, accounting, management, and business operations in the nonprofit sector and will be a key member of the growing Finance and Operations team.

Principal Responsibilities

Financial Management and Accounting

  • Management of Accounts Payable, Accounts Receivable, and Cash Management functions
  • Support the Chief Finance & Operating Officer (CFO) with the annual operating budget and planning process
  • Collaborate with Budget Managers on monthly reporting analysis, budget management, and variance forecasting
  • Assist the CFO with internal and external financial reporting packages to support board and management strategic planning and decision making
  • Oversee reconciliations of all Development & Financial systems to ensure accurate reporting and reliable forecasting
  • Assist CFO with monthly close process and associated accounting responsibilities
  • Ad hoc financial analysis and reporting as needed

Information Technology

  • Support the Finance & Operations Department’s work with an external IT vendor, ensuring staff requests for technology support are addressed and resolved in a timely manner
  • Develop and maintain expertise in all of uAspire’s various technologies that include but are not limited to: videoconferencing/webinars, Virtual Support technologies, webcams, projectors/monitors, phone infrastructure and computers
  • Manage IT equipment and coordinate distribution to staff

Human Resources Administration

  • Management of relations with outsourced HR services
  • In partnership with hiring managers, manage staff onboarding & off boarding including: IT hardware and software management, benefits enrollment/termination, work space planning, and COBRA compliance.
  • Develop and maintain an expertise in uAspire’s HR policies and procedures, supporting staff questions and needs as necessary
  • Identify, develop, and implement HR systems across uAspire’s growing network as needed
  • Annually renew and evaluate uAspire’s benefits and HR vendors

Facilities Management

  • Direct facilities and office management for all uAspire’s sites, which includes but is not limited to: overseeing and managing office supplies, in-office technologies, vendor relation, and relationships with building management
  • Develop systems across uAspire’s growing network to ensure effective support for all facilities related needs.
  • Perform general administrative duties such as: photocopying, mailing and records maintenance.

Legal, Risk, & Compliance

  • Maintain and update uAspire’s organizational policies
  • Research and maintain compliance with evolving regulations in each state uAspire operates
  • Support uAspire’s compliance with all federal, state and city regulators
  • Assist with managing projects assigned to uAspire’s pro bon legal counsel

Qualifications

  • Bachelor’s degree in business, corporate finance, or accounting
  • Belief in and adherence to uAspire’s Organizational Values – Student-Centered, Excellent, Dedicated, Collaborative, and Systems-Focused – required
  • Experience in financial and operations management (3+ years preferred)
  • Experience managing and developing personnel
  • Customer service orientated mind set and understanding of the correlation between a strong and supportive business administrative function and growth with quality
  • High degree of professionalism, tact, initiative and diplomacy
  • Able to manage confidential and sensitive information with discretion
  • High level of flexibility and adaptability
  • High proficiency in Gmail and Google Apps, and Microsoft Office Suite – Word, Excel, PowerPoint
  • Knowledge of and proficiency in financial management software and Salesforce preferred
  • Positive experience working in an entrepreneurial, non-profit setting highly desired
  • Advanced organizational skills with a proven ability to multi-task in an efficient and effective manner
  • Strong oral and written communications skills
  • Energetic, enthusiastic, and interested in learning within a growing, entrepreneurial organization
  • Ability to work flexible hours that will include some early morning, evenings and weekends

Compensation and Benefits

Salary commensurate with individual’s experience and education. All full-time employees receive a competitive benefits package.
